SmartEvent handles this by keeping the entry process elegant. Your hostess simply holds a sleek tablet. As the guest steps out of their car, a quick sub-second scan of their secure digital invite clears them. No clipboards, no searching, no awkward holdups. The guest feels recognized and respected immediately.
The "Whale" Sonar (Instant Arrival Alerts)
This is the feature our luxury event planners absolutely love. Even at an exclusive event, there are always a few guests who require the ultimate level of attention—maybe it's the lead investor, a government minister, or the CEO of the sponsoring company.
We built a feature called the "Whale Sonar". Before the event, you go into the dashboard and silently tag these specific profiles as high-value targets.
The exact second that specific guest gets their QR code scanned at the valet or the main door, the system triggers an alert. It sends a push notification or an SMS directly to your lead hospitality manager's phone. It tells them: "Mr. Sharma has arrived at the South Entrance." This allows your manager to walk briskly to the door, greet the guest by their first name, and escort them directly to the private lounge before the guest ever has to ask for directions. It looks like magic.
Strict Access Control & Approval Flows
Privacy is critical. You don't want random people finding a link to your event on the internet and buying a ticket.
SmartEvent allows you to lock down the registration process entirely. You can set the event to "Invite Only," meaning the system will automatically reject anyone whose email address isn't already on your pre-approved spreadsheet.
Alternatively, you can use a "Manual Approval" flow. This means people can apply to attend, but they don't get a ticket yet. Your team reviews their profile in the backend dashboard. If you decide they are a good fit for the room, you click "Approve," and the system then automatically charges their card and sends them the secure QR code. It keeps your guest list perfectly curated.
Encrypted Data & Total Privacy
When dealing with high-net-worth individuals, data security cannot be compromised. Free or cheap ticketing platforms often monetize their software by selling attendee data to third-party marketers. We never do that.
With SmartEvent, your guest list lives in a heavily encrypted, isolated database instance. We do not sell, share, or market to your attendees. Once the gala is over, you have the option to completely wipe the data from our servers if your corporate privacy policy requires it. Your guests' privacy is fully protected from start to finish.

Can we prevent ticket sharing or forwarding?
Yes. At high-end events, gatecrashers are a real concern. Because every single QR code is cryptographically unique to that specific person, it can only be scanned successfully one time. If an invited guest takes a screenshot of their pass and sends it to their assistant or a friend to get in, the system catches it instantly and flashes a red "Already Scanned" warning.
How do the "Whale Sonar" SMS alerts actually work?
It is fully automated. In the dashboard, you tag a guest as a VIP and enter the phone number of the specific staff member responsible for them. When the guest's QR code gets scanned by the hostess at the front door, the server instantly triggers an SMS message to that staff member's phone. There is no manual communication needed; the tech does it for you.
Can we approve guests manually before they buy a ticket?
Absolutely. If you want a highly curated room, you can set the event to "Application Mode." People fill out their details to apply. Your team logs into the dashboard, reviews the applications, and clicks "Approve" or "Deny." Only the approved people receive the final payment link and the QR code.
What if a VIP brings a plus-one who isn't on the list?
This happens all the time at galas. Your front door manager can handle this directly on their tablet. They can manually add the "Plus One" to the database right there, tying their profile to the main VIP's account. It keeps your data clean while preventing any embarrassing arguments at the door.
Is the guest data kept private from general event staff?
Yes. We utilize strict role-based access. A basic scanning host at the door only sees a green "Approved" screen and the person's name. They do not have access to the person's phone number, email, or payment history. Only your senior event managers with admin logins can see the full database.
